About this research · Sources, method & limitations
A shared project tracker often serves several people at once. A designer wants outstanding artwork, a writer wants copy awaiting approval, and a manager wants the full list. Separate copies create another problem: someone eventually updates the wrong one.
Google Sheets filter views offer a practical alternative. Applying a filter view changes what you see, while colleagues can use different views of the same spreadsheet. Unlike a regular shared filter, your active view does not force everyone into the same filtered display. Saved filter views are available to other people with access to the spreadsheet.
Build a view around one question
Section 1 of 4Start with a specific review, such as “Which tasks assigned to me are waiting for approval?” Use clearly labelled columns for task, owner, status and due date.
Check the question as well as the result
Section 2 of 4A tidy list can still be incomplete. A task labelled “Review” would disappear if the filter only included “Awaiting approval.” Check spelling, blank owners and inconsistent status labels before treating the list as the team’s workload.
Share context without confusing it with privacy
Section 3 of 4You can apply a filter view and copy its URL to help an authorised colleague open that view. However, use file-sharing permissions to control access. Google Drive distinguishes Viewer, Commenter and Editor roles; a filtered display should not be used to protect other clients’ information.

Section 4 of 4Research note: documentation for Google Sheets filter views team tasks was checked on 29 October 2026. A saved filter view is not a privacy boundary; permitted spreadsheet readers may still access data outside the current view. No hands-on product test was performed. Build a view around one question
Start with a specific review, such as “Which tasks assigned to me are waiting for approval?” Use clearly labelled columns for task, owner, status and due date.
On a computer, choose Data → Create filter view. Filter the owner and status columns, then sort the remaining work by due date. Choose Save View, enter a descriptive name such as “Design: awaiting approval,” then choose Save.
To reopen a saved view, choose Data → Change view. Google supports multiple saved views, but only one can be applied at a time. With view-only permission, you can create a temporary filter view, but cannot save it.
Check the question as well as the result
A tidy list can still be incomplete. A task labelled “Review” would disappear if the filter only included “Awaiting approval.” Check spelling, blank owners and inconsistent status labels before treating the list as the team’s workload.
Keep the view narrow enough to be useful, but document what it excludes.
Share context without confusing it with privacy
You can apply a filter view and copy its URL to help an authorised colleague open that view. However, use file-sharing permissions to control access. Google Drive distinguishes Viewer, Commenter and Editor roles; a filtered display should not be used to protect other clients’ information.
For a recipient who should see only selected records, prepare a separate, reviewed document containing only the permitted information.
A useful filter view answers a question quickly. It still needs accurate data and appropriate access controls behind it.
